Customer Service Administrative Assistant helps with a multitude of tasks including reporting, invoicing, and various other projects.**Responsibilities**:**Open Service orders**- Check PO to match our Quotation- Close opportunity in Sales Force- Open orders in SAP- Create job numbers in SAP and insert in Nexonia - assign the correct resource if available- Open Folder on the server and store all information ie: quotation, PO, cost summary, etc.**Close Service orders**- Confirm all cost has been submitted in Nexonia Timesheets/Expenses- Complete cost analysis/cost summary of order- Update SAP order to match Cost Analysis for the Invoice- Invoice - SAP and send out to Customer AP**Check Hours Weekly**- Check if engineering resources have submitted all hours up to the previous week - update excel file and send out reminders as necessary**Weekly Internal Job number communication**- Send out the job numbers weekly to all Service, Training activities for the following week**Monthly Embedded Engineer Hours**- Update Excel spreadsheet and determine if there are overtime hours to be charged- Create SAP quote to send to the Account Manager/Customer**Monthly Nexonia Maintenance**- Close/Inactivate old numbers in Nexonia for all CS projects that closed in the previous month**End of Month**- Recognizing Help Desk revenue- Invoice all Embedded/Help Desk Contracts that are invoiced Monthly**Requirements**:- Knowledge of office administrative procedures, and knowledge of use and operation of standard office equipment- Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work- Attention to details, confidentiality, general math skills, data entry skills- This job description may be changed to include new responsibilities and tasks or change existing ones as executives deem necessary._Tipo de puesto: Tiempo completoSalario: $22,000.00 - $28,000.00 al mesTipo de jornada:- Turno de 8 horas
