Eaton's division is currently seeking a Executive Assistant.
**What you'll do**:
**Job summary**
- The PRD QRO Plant Executive Assistant will also be expected to manage the Plant's overall calendar and to schedule the appropriate cadence of review and preparation meetings for key events like weekly staff and extended staff meetings, Strategic Planning sessions, EBS Pull preparation/event and Profit Plan. Will also play a leadership role in organizing the Plant's documents and communication methods including creating and maintaining our SharePoint and Teams sites and maintaining mailing lists and other forms of outreach to our employees.
- This role also serves as the administrative liaison with Plant leaders of all Departments and supporst special visits, facilities and occasionally deals with distributors, customers, suppliers or others outside the company regarding a variety of issues.
- This position requires strong organizational, analytical and communication skills and requires working with all levels of the organization. We are searching for someone who is proactive and has strong learning agility and who wants to become a key member of our leadership team.
- The PRD QRO Executive Assistant may provide administrative support to the Plant´s staff including but not limited to:
- Managing travel and expenses and scheduling/organizing internal and external meetings as needed
- Plant vehicle fleet administratition: maitenance of vehicles, purchasing or exchange process; new cars, insurance contact, local verification process
- Visitors agenda, attending & take notes in meetings;
- Events in & outside of the plant, reservations & transportation management; hotel rates/events agreements; special projects
- Other office tasks such as local & foreing courier management, SAP requisitions, coffee service supplies, meeting rooms management & food service requeriments"
**Job responsibilities**:
A. Manages calendar schedules, small and large meeting coordination, and light phone management.
B. Manages preparation for external visitors to the facility.
C. Serves as a liaison with support functions such as IT/PC support, facilities and mail room
D. Manages the division's overall calendar and cadence of events and ensures it is aligned with PRD/PSD and Sector events and activities
E. Develops and maintains communication and collaboration tools for the division including SharePoint and Teams sites, mailing lists, Yammer channel
F. Prepares advanced PowerPoint presentations for business reviews, meetings and events.
G. Participates in planning and coordinating division and company employee activities and events.
H. Maintains confidence and protects operations by keeping information confidential.
I. Analyzes administrative processes to look for opportunities to make sure they are as lean as possible.
J. Supports travel and expense report needs of the leadership team as needed
K. Supports office supply replenishment as needed."
**Qualifications**:
- Associate's Degree from an accredited institution.
- Preferred Qualifications:
- Bachelor's Degree from an accredited institution.
- Prior administrative experience
- Minimum of 3 years of experience in a professional business environment.
- Minimum of 3 years of experience and proven proficiency in MS Office (Word, Excel, PowerPoint, Outlook, etc.).
- SAP basic knowledge strongly desired.
- Well-developed organization skills.
- Well-developed written and oral communication skills.
- Evidence of being proactive and anticipating needs
- Ability to work independently, managing priorities and handling simultaneous demands.
- Ability to rapidly adapt and respond to changes in environment and priorities.
