. Email SCOPE To act as the support function for the Cluster Director of Leisure Sales and Cluster Leisure Sales Managers. Effectively communicate with both internal and external guests to ensure inquiries and customer needs are handled professionally and efficiently. Maintain external/internal communications, rate/availability proposals, site inspection details/organization and sales systems that will benefit the revenue production within the leisure sales segment. DUTIES AND RESPONSIBILITIES
- Prepare rate/availability client proposals in support of the sales managers
- Set up, coordinate, and lead site inspections for Sales Managers with other departments and clients
- Set up amenities, comp stays, fam trips, and activities for partners
- Create and distribute mail alerts with internal distribution
- Assist in logging activities, contacts, and accounts in Salesforce (SFDC)/Delphi
- Ensure that all sales requests, traces, comments, and changes are entered in Opera accurately.
- Maintain accounting expense systems, purchase orders, and invoices for the department
- Prepare expense reports for the sales team
- Have a working knowledge of digital file libraries (assets, photography, videos) to use as needed
- Effectively enter, retrieve, reconcile, and verify information and act as system administrator of Salesforce (SFDC)/Delphi
- follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets
- Speak with others using clear and professional English language; prepare and review written documents accurately and completely
- Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees
- Work with the Director of Sales, Sales Managers, Events, Finance, and other team members to ensure accurate data reporting internally and to the client.
- Distribute all documents correctly on a timely basis to the client and to all necessary internal departments.
- Prepare all requested sales reports.
- Answer all telephone and email inquiries with etiquette, in a pleasant, courteous, and professional manner and ensure that all pertinent information is accurately, legibly, and quickly communicated to respective Sales Managers.
- Upkeep and inventory of Sales Collateral (brochures, marketing materials and menus etc.).
- Assist Sales Managers with daily office duties
- Assist Sales Managers with prepping for tradeshows, sales trips and follow up/reporting thereafter
- Generate Month End Reports: (Pace/Production)
- Assist with Market Research: (Comp Set, New Hotels or New Businesses, etc.)
- Internal liaison to key operational departments
