This position will provide the highest level of administrative support for both the HRVP, Operations & IT and HRVP, Rare Disease Unit.Based in our Guadalajara office, this role impacts the reputation of the function as it serves as the initial point of contact. Both departments are a fast paced and constantly changing environment, which requires resilience and personal flexibility; due to routine and urgent business critical requests across several time zones, the position is often required to be available outside regular working hours. This position involves a high degree of job complexity and involves supporting leaders based in our Gaithersburg and Boston offices. The ability to work autonomously and with mínimal supervision is a critical skill for success in this role. Additionally, as this role is supported by a team of Junior Administrators, excellent communication skills are essential.Accountabilities:- As the primary point of contact for the HR SET Area(s), this role involves providing support for both processes and projects as needed. Responsible for ensuring that all inquiries are addressed promptly and professionally, and for facilitating the smooth operation of organizational activities.- Managing HRVPs schedule, coordinating appointments, organizing travel arrangements, and overseeing expense reports. These tasks are to be performed with the utmost professionalism and attention to detail to ensure the smooth operation of the HRVP's daily movements.- Technical proficiency to schedule and facilitate meetings and teleconference calls using a variety of platforms, including video conferencing tools such as Microsoft Teams and Zoom. By adopting a learning mindset, you will be able to effectively utilize various technologies to facilitate seamless communication and collaboration among participants.- Provide project management support including efficient planning, tracking and reporting of progress/milestones and budget management.- Well versed in office tools, particularly Excel and PowerPoint.- The position will have responsibility for supporting the processing of reports and providing trends
