**Administrative Assistance & Receptionist**

**Objective**:
Assist activities assigned by the Business Unit Director, as well as the monthly update of information as required by the Business Unit Director.
Responsible for attending to all suppliers and clients, managing calls and scheduling trips, meetings, and events.
**Essential functions**:

- Assist visitors, vendors, etc.
and provide them with the required information.
- Switch attention and direct calls as needed.
- Receipt of invoices to suppliers and delivery to accounting and receipt warehouse.
- Support other departments (including US visitors) by making airline ticket reservations, car rentals, and hotel reservations.
- Prepare/ship correspondence (including US parcels).
Update and create mailing list.
- Loading of invoices in the supplier portals.
- Verification of expenses made with a corporate card weekly.
- Review of parcel and fumigation accounts and request for payment to accounting.
- Purchase and administration of stationery, printer consumables.
**Education and Training**:

- Business degree studies or higher.
- Bilingual (90% English)

**Minimum Qualifications**:

- Minimum of 3 years industry experience in customer service.
- Excellent spoken and written communication skills.
- Ability to work in a team environment and under pressure.
- Organized, proactive, cordial, dynamic.
- Computer skills - MS Office, AS400.
- MRP, AS400.
- Microsoft Office.
