**Objective of the Position**:
The Administration Manager is responsible for the supervision and management of the organization's administrative processes, ensuring that daily operations are efficient, within budget, and aligned with the company's strategic objectives.
Their role includes resource management, optimization of administrative procedures and coordination with other departments to ensure optimal functioning of the organization.
**Responsibilities**:
**General administrative management**:
- Supervise and coordinate daily administrative operations, ensuring compliance with internal policies and procedures.
- Manage the material and human resources necessary for the efficient operation of the company.
- Develop, implement, and maintain standard operating procedures to improve organizational efficiency.
**Financial control and management**:
- Collaborate with the finance department for the preparation and control of the administrative budget.
- Manage suppliers, contracts, and payments related to the organization's administrative resources.
Control operating costs and propose improvements to optimize the use of resources.
**Human Resource Management**:
- Supervise the administrative management of personnel (hiring, documentation, absence control, among others).
- Support in the implementation of human resources policies and ensure their compliance.
- Manage the relationship with personnel, insurance, and benefits service providers
**Infrastructure and services management**:
- Ensure the proper functioning of the company's physical facilities, including the coordination of maintenance and cleaning services.
- Supervise logistics related to transportation, communications, office equipment and supplies
**Documentation management and archiving**:
- Supervise the correct management, filing and protection of documents and administrative records of the company.
Ensure that documentation is up-to-date and accessible to internal and external audits.
- Prepare periodic reports on the status of administrative operations for senior management.
- Present recommendations to improve process efficiency and cost reduction.
**Regulatory and legal compliance**:
- Ensure that all administrative activities comply with applicable legal and regulatory standards.
Stay up to date on legislative changes that may affect the company's administrative operations.
- Achieve resource acquisition, meaning integration and better access to resources (supplier development).
Evaluation and contact with new suppliers, annual supplier evaluation and assessment.
- Search, contact and evaluation of new suppliers for the company.
**Requirements**:
- University degree in Business Administration, Accounting, Finance, or related careers.Intermediate-Advanced English proficiency
- Postgraduate degree in related areas (preferred, not essential).
- Minimum 5 years of experience in similar positions, preferably in the administrative or operational management area of a company.
- Experience in team leadership and management of administrative processes in dynamic environments.
- Advanced knowledge of administrative management tools, ERP (Enterprise Resource Planning), and office software (Microsoft Office, Google Workspace, etc.).
- Budget management and control of administrative costs.
- Knowledge of tax, labor and social security regulations.
- Leadership and team management skills.
- Effective communication skills, both verbal and written.
- Strategic thinking, ability to solve problems and make decisions under pressure.
- Organization, planning and attention to detail.
