Global Swiss trading company requires**Administrative office manager**Main Responsibilities- Daily supervision of the office; checking cleaning and building services and facilities and deal with any issues- Ensure office supplies are sufficient including the printing of name cards for commercial staff when required, including payment- Coordinate dispatches of documents from the office to various counterparts (twice daily)- Coordinate invoicing for dispatches are accurate and arrange payment with treasury- Monitor consumption in the pantry and reorder goods accordingly, including payment- Under the guidance of HR, effectively manage starters and leavers- Manage the facilities induction for all new starters- Liaise with IT to set up accounts, access logins and other requests- Liaise with IT to ensure all equipment and systems are running smoothly- Contact with Landlord when required security: manage the access card system- Take responsibility for reporting to management on all office management related issues- Remain in contact with travel agencies, provide assistance for bookings of accommodation for overseas guests- Arrange team building activities when required- Administration: follow up on any correspondence, manage budgets (expenses, pettycash), general invoicing and billing activities- Office Manager will be expected to take the initiative in handling the administrative processes associated with moving offices if that arises- Act as a stand-in for the LC presentation team- Ensure OBLs are in order prior to dispatch- Prepare and present documents to Banks when required and follow-up with Bank's Acceptance- Ad-Hoc non-sensitive tasks delegated by HR.**Education, Skills and Experience**- Minimum 3-5 years' work experience as an Office Manager or Senior Assistant OfficeManager- Strong IT skills (Word and Excel)- Can communicate at all levels with a strong team spirit and dynamic personality- Ability to prioritize, highly organized, rigorous- Excellent problem-solving skills- Fluent English**We offer**- competitive compensation plus benefits above the law- International exposure
