**Job Description**:**Why is this role important at Infobip?
**This role contributes to the achievement of organizational efficiency by managing the organization and running of the daily regional operations of regional company and regional offices communicating and coordinating with many different departments and stakeholders on a daily basis.
Regional Office Assistant helps senior managers and high-level executives maximize their efficiency by providing them with clerical and secretarial support, handling difficult assignments that requiring thorough knowledge of a department's operating policy and procedures, and have considerable contact with the vendors, contractors, customers, real estate personnel, etc.
Person holds overall accountability to organize work of the office/ offices in the LATAM region, sort and distribute communications in a timely manner and use "back-office" computer systems.
**What will you be doing?
**- Develop, implement and improve office policies and procedures, in ways that optimize procedures in one or more offices in the LATAM region.- Sort and distribute communications in a timely manner.- Manage and coordinate with other departments to ensure compliance with established policies, and communicate on more complex office-related issues with a wide range of departments and stakeholders.- Create and update records ensuring accuracy and validity of the information.- Monitor level of supplies and handle shortages, and utility payments.- Coordinate (obtaining and renewing) government authorization for office operations on the premises.- Manage office-related malfunctions, maintenance projects and/ or renovation of offices when in need, organize and oversee facilities, services, and maintenance activities; quick response to requests or issues.- Maintain contact with vendors, contractors, customers, real estate personnel, etc.- Manage relationships with property owners, leasing partners, or shared space providers.- Support the employees in terms of travel orders, accommodation, transportation, etc.
