Ensure the efficient day-to-day operations of the office, by supporting the work of management and other staff. Responsibilities of an executive assistant include managing calendars, arranging travel, and preparing expense reports. To be successful in this role, you must be organized, have excellent time management skills, and be able to act without guidance. In short, you will contribute to the efficiency of our company by providing personalized support.

**Responsibilities**:

- Maintain calendar and scheduling for assigned area
- Screens calls, take messages, and make sure the necessary parties are looped in
- Responds to inquiries and requests for information as needed
- Assists in special projects and reports needed by department
- Responsible for maintaining confidential records and files for management
- Assist with coordination of travel plans
- Maintain supplies for the department, including ordering, organizing, and staying on top of inventory
- Be kind and courteous to all suppliers, customers, visitors and the general public
- Managing all reception area phone lines, faxes, copiers, and printers.
- Manage the welcome screens
- Make preparations for any visitor/guests services
- Issue receipts for the payment of invoices according to accounting department directive
- Issue and maintain inventory of Medications for Employees
- Issue and maintain formats and personnel requests for services to be provided by HR to employees (Letters of proof of employment, replacement of employee ID, and any personnel documents to be provided by HR)
- Assist to maintain and keeping the files of employees for Recruiting and HR, including ordering and organizing, to comply with the Law of Protection of Personal Data.
