**SUMMARY OF JOB**Provide full administrative and secretarial support at a senior level to the Director to ensure the smooth management of his day-to-day affairs, and most effective use of his time. Handle sensitive and complex issues in a professional and objective manner. Take initiative as appropriate especially in the Director's absence.**MAIN RESPONSABILITIES**- Scheduling appointments, maintaining an events calendar, and sending reminders.- Maintain records of Director's contacts.- Screen calls, enquiries and requests, and deal with them when appropriate.- Assist Director in researching and following up with action on matters which fall within the Director's responsibility - chasing responses, triggering follow-up action.- Produce documents, briefing papers, reports and presentations for the Director.- Organize meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers.- Meet and greet visitors at all levels of seniority.- Any other duties as may reasonably be required by the Director**SKILLS AND QUALIFICATIONS**- **Live in Tijuana, B. C.**:- Bachelor degree- Bilingual English - Spanish- 3-4 years of experience as a personal assistant would be advantageous.- Extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint.- Advanced typing, note-taking, recordkeeping, and organizational skills.- Ability to manage internal and external communication.- Proficiency in appointment scheduling software such as Google Calendar- Excellent written and verbal communication skills.- Exceptional interpersonal skills.**Job Types**: Full-time, Permanent**Salary**: $16,000.00 - $20,000.00 per monthAbility to commute/relocate:- 22010, TIJUANA, B.C.: Reliably commute or planning to relocate before starting work (required)**Experience**:- MS Office: 3 years (preferred)- Google drive: 3 years (preferred)**Language**:- English (required)
