.Immigration law firm in Oakland, California seeks talented and experienced Case Manager to join our remote team from Mexico!**Policy**: Our firm aspires to have excellent customer service. As such, we are seeking an overseas Case Manager to help ensure that get all that clients are contacted regularly, that their cases are processed more quickly, and to ensure a smooth and efficient case processing.**Tasks**:- Organize and maintain each of the client's files. (Including opening new files when new clients hire the firm).- Help schedule and coordinate case closing meetings when the case is complete. Follow up with closed cases to request feedback and in some instances request online reviews.- Call the clients to welcome them to the firm within 24 hours after they hire us. Ensure that the client has the questionnaire, and the checklist. Give them the appropriate deadline for when we want those documents to us. (Typically within 10 days of hiring us - or before their next scheduled appointment if the case is more urgent).- Follow up with the clients to make sure the necessary documentation gets turned into the legal team.- Help the legal team improve the timeline on which we can complete cases.- Review client's documents to ensure completeness - let clients know what documents, if any, are still outstanding.- Attend weekly case management meetings where tasks are assigned, delegated and reported on.- Take detailed notes on every conversation with clients in our case management system (we use a system called Clio).- Maintain our case management system in an up-to-date and organized fashion.- Complete the Case Processing Index pursuant to office procedure.- Help clients with issues that may arise in their lives during their case. (Issues related to asylee-benefits, for example).- Client Satisfaction Guru:- Follow up with clients regarding client satisfaction surveys, quarterly case audits, and other information about the client's case.- Conduct regular check-ins with clients throughout the life of their case pursuant to office procedure. (every 90 days).- Conduct semi-regular check-ins with former clients pursuant to office procedure. (every 6 months).- Conduct "post-filing appointments" to ensure that the client is fully informed of the next stage in their immigration process.- Inform / remind clients of biometrics appointments, interviews, court appearances, etc the day before.- Help legal team schedule all follow up client meetings.For this position, we look for the following qualities in a Case Manager:- Have 2+ years of experience with Customer Service.- Have 2+ years experience working with a Remote Team.- Extremely detailed-oriented and disciplined with schedule.- Knowledge or Experience in Immigration Law is not required but is helpful
