**Job Summary**:
The Executive Assistant role involves offering top-tier administrative support to Management and corporate visitors, maintaining professionalism while managing demands, logistics, documents, travel arrangements, and databases.
This position demands outstanding bilingual communication, autonomy, attention to detail, proactivity, and collaboration. It requires prioritization skills, a customer service approach, and the ability to uphold confidentiality in a dynamic environment.
**Responsibilities**:
- 1. Provide high-level administrative assistance to the management team and corporate visitors, ensuring professionalism and strategic relationship management.
- 2. Assist in budget monitoring and execution, including tracking monthly expenses, allocating resources, and supervising payments to suppliers.
- 3. Coordinate and execute logistics for activities, meetings, and seminars, anticipating needs for agendas, materials, and equipment.
- 4. Manage travel arrangements and contracting procedures, from travel authorizations to hotel reservations.
- 5. Maintain and manage databases and webpages, offering accurate and timely information as required.
- 6. Handle correspondence and documents throughout their lifecycle, from creation to physical and digital archiving.
- 7. Promptly manage phone calls, written, and oral messages, and direct them accordingly.
- 8. Demonstrate autonomy and proactivity in task execution, emphasizing attention to detail.
- 9. Collaborate with a results-oriented mindset, fostering a customer service approach and confidentiality.
- 10. Prioritize responsibilities effectively within a fast-paced, collaborative environment, upholding bilingual communication proficiency.
**Requirements**:
- Bachelor's degree in human resources, Psychology, Business Administration, Teaching, or related field.
- A minimum of 1 year experience in an administrative role.
- Schedule Availability.
- Strong interpersonal and communication skills in Spanish and English.
- Attitude of service.
- Advanced english level
