As the Executive Assistant, you will be responsible for assisting your executives in managing their schedules & calendars, coordinating business activities, and facilitating seamless communication across the organization. Your primary duties will revolve around calendar management, expense tracking, and event planning. The role demands impeccable attention to detail, discretion, flexibility, and the ability to thrive in a fast-paced, challenging environment.

What You'll Be Doing:
- Efficiently manage and maintain the calendars of the executives you support, ensuring all appointments, meetings, and events are scheduled appropriately, and potential conflicts are proactively addressed-
- Take ownership of tracking, reviewing, and reconciling expenses for the executive team, adhering to company policies and guidelines-
- Assist in the preparation and review of presentations, reports, and other documents, ensuring accuracy, and professionalism-
- Arrange international and domestic travel itineraries, including flights, accommodations, transportation, and visa arrangements, as required-
- Coordinate and schedule internal events, conferences, and meetings across Mexico City and the United States, including all logístical arrangements and follow-up actionsCoordinate and schedule meetings, conferences, and other events involving the executive team, including logístical arrangements and follow-up actions-
- Organize and maintain critical files, records, and documents, ensuring they are easily accessible and up to date-
- Support the executives in ad-hoc projects and assignments, collaborating with other team members as necessary-
- Foster a positive and lighthearted working environment, always demonstrating a willingness to help and learn, and encouraging collaboration across all teamsWhat You Bring:
- Bachelor's degree in Business Administration, Management, or a related field is strongly preferred-
- Proven experience as an Executive Assistant, preferably to multiple executives and in a multinational corporate environment-
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant productivity tools-
- Excellent verbal and written communication skills-
- Exceptional organizational and time management abilities, with the capacity to prioritize tasks effectively-
- Strong attention to detail and the ability to handle confidential information with discretion-
- Ability to work independently and collaboratively in a team-oriented setting-
- Flexibility to adapt to changing priorities and deadlines-
