Responsibilities: Executive Assistant Duties: Administrative Support: Manage the executive's calendar, schedule meetings, and coordinate appointments. Handle travel arrangements, including flights, hotels, and transportation.Communication Management: Act as a liaison between the executive and stakeholders, screening and prioritizing emails and phone calls. Draft and proofread documents, presentations, and reports.Project Coordination: Assist in project planning, tracking progress, and meeting deadlines. Conduct research and compile data for reports or presentations.Event Planning: Organize company events, meetings, and conferences, coordinating logistics like catering, venue booking, and tech setup.Financial & Expense Management: Prepare expense reports, monitor budgets, and track expenses for specific projects or departments.Confidentiality & Discretion: Handle sensitive information with utmost care and manage personal affairs when required.Office Management: Ensure the office runs smoothly by ordering supplies and coordinating with administrative staff.Problem-Solving: Proactively address issues and act on behalf of the executive when authorized.Technology & Tools Management: Manage CRM systems, task management tools, and troubleshoot basic tech issues.Scheduling & Appointments: Manage online booking systems, schedule, reschedule, and confirm appointments, and send reminders for upcoming appointments.Email & Communication Management: Respond to client inquiries via email or chat, forward queries to the team, and manage newsletters and promotional emails.Data Entry & Record Keeping: Maintain client records, update product inventory, and track key metrics like appointment rates and revenue.Billing & Payment Support: Process payments, send invoices, and follow up on pending payments.Customer Relationship Management (CRM): Manage CRM (Go High Level) to track interactions and follow-up actions, ensuring a smooth client experience.Client Interaction: Address questions about services, treatments, pricing, and provide pre-appointment instructions or aftercare tips.Upselling & Cross-Selling: Promote additional services or packages based on client history and current offers.Follow-Ups & Retention: Send post-treatment follow-up messages, reminders for recurring treatments, and loyalty program updates.Treatment Prep Assistance: Provide virtual consultations and share pre- and post-treatment care instructions.Compliance & Documentation: Ensure medical consent forms are filed properly and assist in compliance with health and safety regulations.Flexibility & Adaptability: Prioritize tasks in a fast-paced environment with shifting priorities and be available for urgent needs outside standard work hours. Cold Calling Responsibilities: Conduct cold calls to both warm and cold leads to generate interest in services and schedule appointments.Set appointments efficiently, ensuring a smooth transition for potential clients.Utilize the CRM system (Go High Level) to track interactions, manage lead status, and follow up promptly. Desired Skills and Experience: Fluent in both English and Spanish (verbal and written communication).Proven experience in cold calling and appointment setting.Skilled in CRM management, particularly with Go High Level or similar platforms.Strong organizational and multitasking abilities, with an eye for detail.Ability to adapt to a fast-paced, dynamic environment.Excellent communication skills with a professional, friendly demeanor.Quick responsiveness and eagerness to begin the hiring process.
