**Administrative Assistant, your future position?
**Based in our Cuernavaca site, reporting to the Heads of Operations, you will perform administrative activities in order to ensure smooth operations of an office, according to our policies and local office requirements.
**Your main responsibilities will be**:- Perform the office administration activities to ensure the office's administrative needs are met.
These activities may include copy services, filing and record-keeping, ordering office supplies, administrative assistance, mail and messenger services, booking conference rooms and ensuring appropriate equipment is present- Work together with Procurement with regards to purchasing office supplies.
Order office supplies and equipment from recommended vendors.- Manage relationships with suppliers to ensure satisfactory standards of service- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies and ordering new supplies- Ensure office equipment is functioning by completing preventive maintenance requirements and managing repairs- File and retrieve documents and reference materials, conduct research data to prepare reports and documents- Revise and suggest improvements to processes and record-keeping systems- Manage site services, including cleaning, gardening, canteen, messengers, reception.- Inspect site services, identify issues with equipment and manage repairs- Ensure that all service activities are performed according to health and safety norms and with the highest quality- Track all issues and incidents and report to site manager- Cooperate with Procurement with regards to purchasing cleaning/gardening sup-plies, spare parts, new equipment.
