Overall Purpose of the JobTo provide administrative support to the HSEQ Department.
Liaise with all departments and functions to ensure that HSEQ administrative systems are complied with.
Assist in the collation, recording and effective communication of HSEQ data.
Key Activities and Accountabilities1.
Administration of training courses.
Liaise with Departments / Countries to confirm HSEQ training requirements.
2.
Systems Maintenance of ETrak database - incidents / hours / reports.
Liaising with FIRST Systems Administrator to ensure HSEQ documentation current & up to date.
Ensure 6 monthly update of 'HSEQ FIIRST Lite' system.
3.
ITT Creation and maintenance of ITT question tender databank.
Completion of ITT questionnaires.
4.
Monthly Reports - communicate the deadline to submit monthly exposure hour information.
5.
Collate minutes of safety committee meetings.
6.
Assist with monthly management report.
Help compile SQ monthly report.
Assist with month end analysis of received data feedback to Department / Country for inclusion in to Safety Meetings.
7.
Ensure that First Aider training certificates are still current, liaising with individuals and managers regarding training, raising requisitions and confirmation to Training Provider.
8.
Answer the telephone and taking messages.
Opening and distributing all HSE mail.
Photocopying, training notes for the trainer, Safety Alerts and Information for the Notice Boards etc.
Job Knowledge and Qualifications1.
Knowledge of Health & Safety Systems and process.
2.
Proficient in Microsoft office (Excel, PowerPoint and Word)
