CIMMYT is seeking a organize, service-oriented professional and proactive person for the position of Import and Export Coordinator to be part of the Business and Services Department.
The position will be based at CIMMYT headquarters in Texcoco, State of Mexico, near Mexico City.
Specific duties: Coordinate with all the different actors participating in the Import and Export process (suppliers, freight forwarders, customs broker, contract logistics, and end users) to successfully complete the International Trade Operations in a timely and cost-efficient basis. Monitoring of shipments for import of goods ordered by CIMMYT's Procurement Team, ensuring timely completion of the process to avoid incurring additional costs of imported items for demurrage in customs' storage facilities. Facilitate Customs process for export and import of seeds and other germplasm and research materials from/to CIMMYT's offices to/from different locations worldwide, ensuring completeness of documentation, clearances and permits needed for the legitimate and speedy transfers of such materials. Ensure compliance with local, state, and federal regulations related to international businesses and operations. Report changes in regulations that may affect shipment of goods being imported and/or exported. Prepare, review, and submit documents related to import and export operations to ensure that they are complete and correct. Request on a timely basis the required diplomatic franchises to Legal unit, for all the Import purchases whose value exceeds 1,000 USD. Ensure that imported goods in transit to CIMMYT's destinations worldwide are properly covered by an insurance policy according with CIMMYT's rules and regulations. Ensure prompt processing of payment requests for customs brokers, storage facilities, freight forwarders, and/or couriers. Coordinate with Procurement to evaluate and select freight forwarding, courier companies and customs clearance brokers according to the relevant and current policies. Thorough monitoring and follow-up of all import and export transactions from origin to destination to ensure safe and timely transport of goods/seeds/other germplasm materials. Prepare, on a periodic basis, reports on all import and export transactions that will serve as a tracking and monitoring tool to ensure that all import and export data are captured and being followed up for reference. Prepare requests for Payments (Journals) for Customs Brokers, Freight Forwarders, courier suppliers, and/or contract logistics suppliers according to the negotiated payment terms. Follow-up with suppliers of imported materials to obtain the correct invoices from them. Establish and maintain an efficient communication channel with internal clients and partner units to ensure efficient and effective completion of the Import and Export Processes. Any other tasks related to Customs process and transfer of goods, germplasm, and research materials. Other related activities that may be assigned by the supervisor. Required qualifications, skills, and attitudes: The selected candidate must have a bachelor's degree in international Trade or Logistics, or a graduate of any bachelor's degree with 3-5 years of experience in International Trade or Customs operations. Advanced level in MS Office, with special remark in Excel and Power Point. Intermediate level of English (fluent written and conversational). English will be tested, and candidate should score a minimum of B2 on CEFR.
