.The RoleThe Office Coordinator will be a key support person in the operational management of the workplace.
They will be responsible for community coordination and making connections, supporting with the delivery of all ongoing services into the office space.
The Office Coordinator will become the heartbeat of the office, living and breathing the clients' core values and striving to always deliver exceptional service.
You'll become the 'go to' person for the team with everything they need at your fingertips.
This role has also been described as an "office concierge"; like a concierge at a five-star hotel, you will be the 'go to' person for all day-to-day needs of the client's employees.
You will be expected to be knowledgeable about the local area including restaurants, hotels, parking garages, etc.
You will be reporting to and directly supporting the Community Director/Community Manager on-site.Department: ServicesEmployment Type: PermanentLocation: Mexico CityWorkplace type: OnsiteWhat will you be doing?Community ManagementFoster a welcoming and collaborative workplace.Ensure smooth operations, order supplies, log helpdesk jobs, and manage budgets.Liaise with suppliers and outsourced teams, perform audits, and ensure customer satisfaction.Organize events and provide 5-star hospitality for employees and visitors.Facilities And Space ManagementOversee planned FM services and reactive work orders.Conduct evacuation drills, monitor safety practices, and provide first aid.Manage floor utilization and ensure Health & Safety compliance.SecurityReport incidents, manage access cards, and liaise with security teams.Environmental InitiativesPromote sustainability and improve waste/energy management.Support environmental objectives and best practices.Service DeliveryMonitor performance, exceed service standards, and ensure compliance with HSEQ and other policies.Facilitate business continuity, security, and certification audits.Event Planning/ConciergeOrganize catering, safety talks, and team outings.Encourage office attendance with engaging initiatives.Reporting And OrganizationPrepare reports on budgets, service levels, and operations.Maintain SharePoint filing, manage suppliers, invoices, and budgets.Support procurement and accounting teams for seamless transactions.Who are we looking for?Alignment with our company behaviours: Play To Win, Own Your Outcome, Solve It Together, Help Each Other Grow.Excellent written and spoken English and Spanish.A knowledge of outsourced facilities management is beneficial.Must have a good working knowledge of all MS packages.Administration and coordinating experience.Excellent customer service and client relationship skills.Ability to manage multiple tasks and prioritize workload.A background in reception/PA and customer services roles.A knowledge of facility management systems is ideal but not essential (IWMS/CAFM).Event planning experience preferred but not required
