**Accountable for**:

- Administrative support
- Contractors Management from the Quote to Cash processes
- Documental Control, Project Binders creation and record keeping for:

- Project Worklogs
- Permits and licenses
- Progress Payments and Subcontractor payments
- Closure of Governmental Obligations

**Primary Project Responsibilities**:

- Administrative Support and Logistics support
- Coordinate site approvals for visitors and contractors related to the project
- Administrative support for the "Request for Proposals" and "Request for Quotations" process from subcontractors
- Coordinate supplies and meeting room arrangements for meetings including the required coordination with EH&S, IT, Security, Facilities and HR
- Invoices processing and payments
- Provide any deviation report / escalate on the assigned duties
- Contractors Set ups from Quote to Cash processes- Coordinate the contractors' setups and system c onfiguration with the site Procurement and Finance areas
- Ensure all statutory supplier documents are delivered to Purchasing and Accounts Payable in a timely manner
- Upload requisitions and approvals tracking
- Track the purchase order placement
- Request for approvals for invoice receipts in the Oracle system
- Submit approved invoices to the DataServ inbox for accounts payable purposes
- Project Documental Control
- Ensure all statutory documents are available and properly recorded in the Server, Share Points, and hard copies as demanded
- Organize and retain the project binding hard copies and files by category and discipline
- Prepare binders submittals for Permits and Licenses, Governmental requirements and obligations related to the project, etc.
**Qualifications**:

- BS in Industrial Engineering or Business Administration
- Self-starting and action oriented
- Ability to manage multiple priorities
- Proficient in computer skills including Excel, Power Point, Teams, Outlook, Word, Project, AutoCAD, Share Point, Adobe Acrobat, Project Sight
- Excellent communication skills, both oral and written, including using tact and good judgment when dealing with others
- English proficiency, able to maintain a business conversation
- Knowledge of any governmental website platform to process licenses and requirements is a plus (COIME, ISEM, Environmental, Urban Development, Civil protection, etc.)
