Job Summary
To plan, assign and coordinate, through the Cells, the entire project development, according to the contract agreement.
Plan, budget and coordinate operation and development - in a timely manner - of projects, monitoring costs in order to guarantee margins and ensure quality standards.
Job Description
Project Planning and Start-up
Analyze team requirements, project needs and workloads, in order to assign the work cell.
Assign the resources needed (collaborators, team, software etc.) to comply with the projects.
Monitor ASANA dashboards: status logging, team workloads, and check with the PM any detected deviations.
Define, along with Administration, annual operating budget for the Projects area ( IT team, training sessions, hiring, etc.).
Follow up budget (costs) and Project scopes.
Project Development
To make sure activities and programs take place as planned on schedule.
Resolve doubts from the Team and follow up on the generation of deliverables established for the project.
Ensure that the criteria - design and technical - are met for each project based on the needs and requirements of the client and with the assignment of the curatorial and creative creation team.
Follow up on the quotation and projection of changes requested by CEO and/or client.
Ensure that the delivery of phases is signed (upon receipt) by the client.
Track ASANA usage and timecard.
Ensure that agreed delivery dates are met.
Coordinate brief meeting (project closing) with CEO, Administration, PM and team assigned to project.
Share with Team the learnings from brief meetings.
Ensure that the rendering team schedules and fulfills the Team's requests based on project planning.
Administration
Support PM's to review, along with the administrative area, the status of payment of advances and settlements with customers and suppliers.
Systematically review budgets vs. actual projects in conjunction with the PM and the administrative area in order to detect and correct any deviation in a timely manner.
Submit monthly administrative status of projects to CEO Purchasing.
Oversee the development of direct purchase and production quotes.
Review, in conjunction with Purchasing, stock budgets and ensure that they are stocked in a timely manner.
Follow up on negotiations with suppliers regarding prices and delivery times.
Ensure that procurement processes are respected and priorities are assigned based on project planning.
Team Management
Follow up on the publication of staff vacancies, if required.
Ensure that the team's induction processes run, in conjunction with People & Culture.
Distribute workloads across the Team.
Coordinate multiple work teams simultaneously.
Reassign, if required, team members.
Requirements
Engineering, Industrial Engineering, Architecture, Interior Design.
Masters Degree in Project Management.
5 years of experience in a similar position.
Luxury hospitality experience required.
Project Management in multi-project environments.
Budget and cost analysis. Real cost and budget comparatives.
Definition of project scope and objectives.
Project coordination through multidisciplinary teams.
Team coordination for project development.
C1 certification in English.
