**Company Summary****Role Summary****Duties and Responsibilities**- Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives.- Manage calendars, appointments, and meetings, including scheduling, coordination, and logistics.- Prepare and organize documents, presentations, and reports for meetings and presentations.- Provide administrative and office support, such as taking notes on meetings, creating spreadsheets, and maintaining the filing system and contacts database.- Assist in the planning, coordinating, and executing of various projects and initiatives led by the director of operations.- Track project timelines, milestones, and deliverables, ensuring adherence to deadlines and goals.- Prepare project status reports and updates for executive review and decision-making.- Monitor action items, accountability tasks, and commitments made by the director of operations, ensuring timely follow-up and completion.- Maintain accountability systems to track progress on goals, objectives, and key performance indicators.- Provide reminders, prompts, and assistance as needed to ensure commitments are met and deadlines are achieved.- Facilitate communication and coordination between the operations team and customers or partners.- Act as a liaison between the director of operation and other staff members, addressing inquiries and resolving issues as they arise.- Travel planning and event organization for the team**Skills and Qualifications**- Being familiar with International Shipping & Logistics or Consulting is a bonus- Consulting and project management skills- Excellent written and verbal communication skills- Time-management skills- Ability to pay attention to detail- Organization and interpersonal skills- Mathematical skills to process complex calculations- Experience in overseeing budgets and expenses- Experience in developing internal processes and filing systems- Ability to work independently with mínimal supervision while functioning effectively as part of a team.- Flexibility and adaptability to changing priorities and deadlines in a dynamic work environment.
**Requirements**:- 5+ years of experience in Project Manager functions- 10+ years of experience in General Business Operations- A bachelor's degree in Finance, Business Administration, Management, or a related field is preferred.- High level of discretion and confidentiality, with a strong sense of professionalism and integrity.- Excellent computer skills and solid knowledge of Google / Microsoft Word, Excel, Outlook, Microsoft suit, and Adobe Acrobat- English, strong verbal and written communication skills- Resume - English and Spanish- Submit Cover Letter**Benefits**- Hybrid Remote/Office Work Environment- Opportunity to self-manage your schedules- Competitive salaries- Career development plan- Paid training.
