Job Summary
We are seeking an experienced and highly skilled Executive Assistant to provide administrative support to our Regional Vice President.
Responsibilities
1. Administrative Support: Manage the RVP's calendar, including scheduling meetings, appointments, and travel arrangements. Prepare and edit correspondence, reports, and presentations. Translate documents from English to Spanish as needed.
2. Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. Manage confidential and sensitive information with discretion.
3. Project Management: Assist in planning and executing regional projects and initiatives.
Track progress and provide updates to the RVP and VP staff.
4. Communication Liaison: Serve as the primary point of contact between the RVP, VP staff, and other internal and external stakeholders. Ensure effective communication flow within the regional office and with other departments.
5. Travel and Event Planning: Coordinate travel arrangements, including booking flights, accommodations, and transportation. Plan and organize regional events, conferences, and meetings.
6. Support RVP Staff: Provide administrative support to the RVP's direct reports and functional directors as needed. Assist with onboarding new staff members and organizing team-building activities.
Requirements
- Bachelor's degree in business administration, communications, or a related field.
- Minimum 5 years of experience in an executive assistant role, preferably supporting senior executives.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills in English and Spanish.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to manage sensitive and confidential information with discretion.
- Strong problem-solving skills and ability to anticipate needs.
- Professional demeanor and ability to interact with all levels of the organization.
