Description - External
The Office Manager is responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. The Office Manager provides back-office support, directly supporting the Local Leaders, other executives, and teams, especially Sales.
Main Responsibilities:
- Organize office operations.
- Support all administration process for the team.
- Maintain office archive - excellent handling of confidential information - design filing systems.
- Control correspondence for Sales Organization - File and retrieve corporate documents, records, reports and writing communications in response.
- Partner with procurement for office material and other needs.
- Serve as point of contact for both external contacts/providers and internal personnel.
- Responsible of receiving customers, providers, partners, or visitors in Genesys Offices.
- Support all Sales Office operations.
- Keep the management, HR and Finance informed of any local issue.
- Support all different areas when needed (Marketing, HR, Finance, Sales).
- Manage and maintain the schedule of Country Director.
- Prepare reports, memos, letters, statements, and other documents, using word processing, spreadsheet, database, or PPT.
- Read and analyze incoming documentation, submissions, and reports to determine their significance and plan their distribution.
- Primary local contact for Local accountants, local layers, payroll.
- Office expenses, revision, approvals, and payment follow up.
- Suppliers contact: Quotations, budget management and approvals.
- Internal events (QBR, with clients, MKT).
- Amex: main contact with executives, expenses control, payments.
Qualifications:
- 4 years of direct experience in executive assistance and back office: Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, transcription, designing forms and office procedures.
- Excellent written, communication skills.
- Fluent in English.
- Can Do attitude and team player with proven ability to influence others.
