Job Title:
Senior Administrative Assistant
Summary:
The Senior Administrative Assistant holds a pivotal role in supporting the administrative needs of the Executive team in a timely manner. Reporting directly to Executive Assistant, the incumbent will handle administrative tasks and ensure seamless coordination and execution for the executive team.
Responsibilities Include:
Handling Administrative Requests and Queries:
- Responding promptly to inquiries from senior managers.- Assisting with a variety of administrative tasks.
Appointment Management:
- Organizing and scheduling appointments for both internal and external parties.- Coordinating meetings and events; including logístical arrangements.- Managing calendars efficiently.
Communication:- Serving as the primary point of contact for internal and external clients.- Managing large MS Team meetings
Document and Report Preparation:
- Assisting in the preparation of documents, presentations, and reports.- Managing revisions and proofreading documents.- Providing support for translations between English and Spanish.
Travel Arrangements & Expense Reports:
- Booking, confirming, and changing domestic and international travel arrangements.- Supporting the procurement of Business Visas and travel documents.- Submitting and reconciling expense reports.
Purchasing:
- Assisting with vendor management, creating purchase requisitions, and processing invoices.
Other administrative duties:
- Undertaking additional administrative duties and projects as assigned.
Qualifications:
The following are _required _for the role- Minimum 5 years of experience as an Executive/Administrative Assistant or Office Manager/Assistant- Strong proficiency in Microsoft Office Suite with emphasis on Word, PowerPoint, Excel, and Teams- Excellent time management skills and ability to prioritize effectively,- Demonstrated commitment to maintaining confidentiality.- Strong attention to detail and adept problem-solving skills.- Excellent written and verbal communication skills.- C2 level proficiency in Business English required; C1 preferred.- Multi-lingual capabilities (Spanish and English)
