This role will be responsible for ensuring that the provision for support services is delivered promptly. The person in this role will strive to provide service excellence through proactive operational support, compliance with Health and Safety legislation, as well as internal processes.MAIN RESPONSIBILITIES:Manage the buildings and grounds and the day-to-day maintenance of the building systems including HVAC systems, lighting, life safety systems, plumbing repairs to workstations/carpet/walls, landscaping, janitorial, etc.Receive, review, and approve quotes for repairs and maintenance as well as approval of invoices for those services.Assist in managing the on-site food services, coffee service, and catering services for events.Manage all employee requests and inquiries related to their work environment.Handle the remote employees' shipping and schedules meetings.Support the brand business trips.Generate weekly status project and budget reports.Decision maker for how space is used in all locations.Prepare specifications for furniture for each project and coordinate the purchase, delivery, and installation of products with appropriate staff.Establish work plans for each phase of the project and coordinate assignments for project vendors and participating staff.Assign and allocate space-related projects at the Mexico Office to direct reports and oversee the progress.Coordinate health, life, and disability insurance enrollments and communicate with service providers concerning routine administration of programs.Conduct the benefit enrollment process.Keep employee records up to date by processing employee status changes in a timely fashion.Handle and control the vendor contracts process and renewal.Prepare new-hire paperwork.Maintain the employee handbook with updated resolutions and other pertinent information as needed.Assist with day-to-day operations of the HR functions and duties.Create, implement, and evaluate all human resource department policies, procedures, and structures.Ensure all files, paperwork, and hiring test requirements from employees are updated.Prepare checklist of requirements for internal audits.Track facilities and department budgets.Serve as a point of contact with benefit vendors/administrators.Lead and coordinate employee activities.Oversee the completion of compensation and benefit documentation.Perform other duties as required.
