.The Opportunity:Avantor is looking for a dedicated Sr. Administrative Assistant / Asistente Administrativo Sr. - Mexico City.The Sr. Administrative Assistant will have the opportunity, under limited supervision, to perform a wide range of administrative duties including conducting research, preparing statistical reports and spreadsheets, preparing correspondence, reports, and presentations, handling information requests, planning conferences and meetings, providing purchasing and payroll support, making travel arrangements, and maintaining calendars and schedules.The opportunity: Reporting to the Facilities & Admin - Manager India, you will have full responsibility for all Admin & facilities activities of Mexico City ABC, including Logistics, Housekeeping, Event Management, Food, Vendor Management, Safety & Security, and day-to-day support to the Mexico Shared Services Center.WHAT WE'RE LOOKING FOR:- High school diploma or GED required, Bachelor's degree a plusEXPERIENCE:- 3-5 years' experience handling Facilities & Services in similar industry is preferred. Responsible for all Admin & facilities activities of Mexico City ABC, including Logistics, Housekeeping, Event Management, Food, Vendor Management, Safety & Security and day-to-day support to the Mexico Shared Services Center.- Ability to liaise with vendors and work independently or in a team environment.PREFERRED QUALIFICATIONS:- Written and spoken English capability.HOW YOU WILL THRIVE AND CREATE AN IMPACT:- Be responsible for documentation and adherence as per ISO Norms. To maintain necessary records for the internal and external audit purpose- By planning and executing the House keeping needs on day-to-day basis / HK training / compliance documents- Monitoring Security operation / visitor & guest management / security training / security record audit / compliance documents- Daily walk around to check for any abnormalities / report snags and action accordingly.- Workspace layout and its effective usage, recreation, parking, build fit-outs, shifting etc- Identifying a right vendor for the cafeteria and upgrade it whenever required / compliance documents- Transport - monitor routes, vehicle utilization, MIS, costing, vendor relations, improvements, effective use to associates- Assets - monitor, track & maintain company assets, purchase of goods and services- Monthly vendor invoice verification / processing on time / follow-up for vendor payments / No-Dues Collection - quarterly basis
